How eBay sales reach Lotmaster
When something sells on eBay, Lotmaster marks it sold for you. How fast that happens, what changes, and how items with several copies work.

When an item sells on eBay, Lotmaster marks it sold for you and puts it on your pull list. You don't need to record eBay sales yourself. Sales usually arrive within minutes, because eBay tells Lotmaster about them as they happen, and Lotmaster also checks eBay regularly as a backup.
How fast sales arrive
There are two ways a sale reaches Lotmaster:
- eBay's sale alerts. eBay sends Lotmaster a message when something of yours sells, and Lotmaster fetches the sale a few minutes later. In Settings β eBay and fees, the Instant sale alerts row says On: sales arrive within minutes when this is working.
- Regular checks. Lotmaster also checks your eBay sales on a schedule, in case an alert goes missing. If alerts aren't on for your shop, these checks are how sales arrive, so they take longer to show up.
To look right now, tap Check eBay now in Settings β eBay and fees, or Check now in Sell β eBay imports. It checks your listings and sales, and tells you if there are new sales.
The Sales tile in Settings β eBay and fees shows when Lotmaster last checked.
Sales from before you connected eBay aren't brought in.
What happens when something sells on eBay
- The item is marked sold, with the eBay price and date. Its profit uses your fees (see eBay fees and profit).
- The sale goes on the pull list in Sell β To ship, so you can pull it from its bin, pack it and ship it.
- The buyer's eBay user name is added to People and linked to the sale. eBay doesn't share buyers' real names or addresses with Lotmaster.
- When the last copy sells, eBay ends the listing, and Lotmaster shows it as ended too.
Items with several copies
A listing for several copies stays up while copies are left.
- A buyer who takes 2 copies is one sale of 2, at half the order's total each.
- Each eBay sale takes the copies off the item in Lotmaster. The item only becomes sold when its last copy goes.
- eBay lowers its own count on the listing as copies sell.
When it sells somewhere else
If an item sells in person, at a show or on another site, record the sale in Lotmaster. While it's live on eBay, the sale form shows End the eBay listing too, or Take a number off the eBay listing when copies are left. Leave it ticked, and Lotmaster ends or lowers the eBay listing for you, so nobody buys the same thing twice.
Website orders paid through Buy now end or lower the eBay listing on their own.
Anything sold elsewhere that's still live on eBay shows at the top of Sell β To review, marked Do this first, with End eBay listing.
Sales that need a look
Most eBay sales go straight through. A few go to Sell β To review instead, for you to decide:
- the eBay listing isn't linked to any item in Lotmaster,
- the item was already sold, or didn't have that many copies left,
- the buyer's order was cancelled after the sale was recorded.
To review: eBay sales and website orders to check says what to do with each one.
