Record a sale from a show, in person or elsewhere

Mark an item sold when it sells at a show, in your shop, on Facebook, Whatnot or anywhere other than eBay and your website.

When something sells anywhere other than eBay or your website, open the item and tap Record a sale. eBay and website sales are recorded for you, so you only do this for everything else.

Record a sale

  1. Find the item and open it.
  2. Tap Record a sale. On a phone it's the big button at the bottom of the item page. On a computer it's beside Edit and Move, under the price.
  3. Under Where did it sell?, pick where: In person, Facebook, Mercari, Whatnot, OfferUp, Craigslist, Etsy, A show or Other.
  4. Type the price in Sold for.
  5. Pick how it gets to the buyer: I’ll ship it or Handed over.
  6. Tap the button at the bottom. It says Mark sold until you type a price, then Sold for and the amount.

You're taken back to the item, which now shows as sold, with the sale listed under Sale.

Where did it sell?

Lotmaster picks a starting choice for you: if you'd marked the item as listed on one of these sites, that site is picked. Otherwise it starts on In person. Change it if it's wrong.

Where it sold decides which fee rule is taken off the profit shown on the item page.

Handed over, or I'll ship it

  • Handed over is for a sale that's done: the buyer has it. Nothing goes to Sell → To ship.
  • I’ll ship it puts the sale on the pull list in Sell → To ship, so you remember to pull it from its bin, pack it and send it. See Pull, pack and ship orders.

Items with several copies

If the item has more than one copy, the form asks How many sold. Use the plus and minus buttons to change it. Under the count it tells you how many will be left, or "All of them: the item will be sold."

When more than one copy sold, choose whether the price you typed is Price each or Price in total. Lotmaster works out the price per copy from the total if you pick that.

The item only becomes sold when its last copy goes. Until then it keeps its status, with fewer copies left.

Adding the buyer

Only the shop's owner sees the buyer field. Helpers can record sales, but without a buyer.

Tap Buyer, optional to pick who bought it. You can:

  • search your People and tap their name,
  • tap Add a new person and type a name, with an email or phone if you have one, then tap Use and their name,
  • or tap Skip.

A new buyer is added to People when the sale is saved. If someone in People already has that email address, the sale goes to them instead of a new person.

You can add or change the buyer later from the item page, under the sale, with Add or Change.

If it's also on eBay

If the item has a live eBay listing, the form shows End the eBay listing too, ticked. With several copies and not all of them sold, it says Take and the number off the eBay listing instead. Leave it ticked so nobody buys the same thing on eBay.

If you untick it, the item page shows Still live on eBay after the sale, with End the eBay listing and Open on eBay.

If it's listed on other sites

Lotmaster can't take down listings on Facebook, Mercari or other sites for you. After the last copy sells, the item page shows Take down the other listings with the sites it's on. Remove them on those sites, then tap Done, they’re taken down.

If it says "Only" a number "left"

Someone else recorded a sale of the same copies first, or an eBay sale came in. The form tells you how many are left. Change How many sold and try again.

Undo a sale

If a buyer brings something back, or you recorded a sale by mistake:

  1. Open the item.
  2. Under Sale (or Sales when there's more than one), tap Undo beside the sale.
  3. Confirm. The copies go back in stock and the sale details are removed.

If the item still has a live eBay listing, the copies are put back on that listing too. Undoing an eBay sale leaves eBay alone, since eBay puts a cancelled order's copies back itself.
