Item statuses: in stock, listed, sold, kept and missing

What in stock, listed, sold, kept and missing mean, what sale pending does, and which items count toward your plan.

Every item in Lotmaster is in stock, listed, sold or kept. Missing is a flag that sits on top of that, for something you can't find. Lotmaster sets most statuses for you as you list and sell.

What each status means

  • In stock: you have it, and it isn't listed for sale yet. New items start here.
  • Listed: it's for sale somewhere. An item becomes listed when you list it on eBay from Lotmaster, when it comes in from an eBay import, or when you add a new item with an eBay item number or an Also listed on site filled in.
  • Sold: every copy has sold. Lotmaster sets this when you record a sale, or when a sale comes in from eBay or your website. You can't pick Sold by hand.
  • Kept: an item you've set as kept. It stays in your inventory with everything else, but it isn't counted as active.
  • Missing: you've marked it missing because you can't find it. It keeps its status underneath, so a missing item can still be in stock or listed.

Change the status yourself

  1. Open the item and tap Edit.
  2. Open Where it’s listed.
  3. Under Status, pick In stock, Listed or Kept.
  4. Tap Save changes.

A sold item shows Sold there and can't be changed. To put it back in stock, undo the sale on the item page, or type how many came back in the Restock box when you edit an item that counts copies.

Mark something missing, or found

  1. Open the item and tap Can’t find it? Mark missing at the bottom.
  2. If it's on your website or live on eBay, tick Take it off the website or Also end the eBay listing so nobody buys it meanwhile. Both are ticked to start with.
  3. Tap Mark missing.

The item stays in your inventory with a red Missing badge, and Home shows it under Needs your attention as Item marked missing until you find it. When you do, tap Found it on the item. Found doesn't put it back on your website or eBay, so do that yourself.

A sold item can't be marked missing, and an item that sells out stops being missing.

Sale pending

Sale pending is a tick box in the Website section when you edit an item. Use it when a buyer has said yes but hasn't paid. While it's ticked:

  • your website shows the item with a Sale pending badge, and buyers can't buy it there;
  • the item's status doesn't change.

Any sale of the item clears it. Your website also shows an item as sale pending while a buyer is paying for it through Buy now (for an item with copies, once every copy left is held for a buyer).

What counts as active

Your plan's item limit counts active items: items in stock or listed. Sold and kept items don't count. Setting a kept item back to in stock or listed counts it again, so that change can be refused if your shop is at its limit. You can see how many active items you have under Settings → Usage and your data.

Finding items by status

In Inventory, open the filters (the filter button on a phone, More filters on a computer) and pick On hand, In stock, Listed, Sold, Kept or Everything. On hand is the starting view and leaves out sold items. To see missing items, tap Items marked missing on Home.
